Dear Gusties,
We know this time has been difficult for all of you, and we thank you for all of your patience as we navigate this extraordinary situation. It is critically important that you read this entire email, and respond as asked to below.
We will be facilitating our move-out process over six weeks from April 20th through May 29th (7 days a week).
You may be aware that the Governor extended the Stay at Home order through May 4th. There is now an exemption for moving, which is why we are moving forward with our initial timeline. We know some of you may choose to wait until the Stay at Home order is lifted and we respect your decision to move or to wait until May. Our timeline provides flexibility for both options.
You must sign up for a time to come to campus to get your belongings; you will only have access to your building during the time you select. Each day will consist of a morning (8:00 a.m. – Noon) and evening (1:00 p.m. – 5:00 p.m.) time slot. We encourage you to talk to your roommate(s) in advance so that you do not schedule to come at the same time due to social distancing guidelines. In order to maintain social distancing guidelines, we are limiting the number of people who can come to buildings/campus at any particular time.
Please choose one of the following options for your check-out/move-out process by April 27, 2020:
- Complete the form here to inform us of one of the following options:
- If you have already fully moved out and want to confirm your check-out.
- If you will be unable to return and need assistance storing your items.
- Schedule a date/time to return to campus to move-out your items at https://gacreslife.youcanbook.me.
- Appointments are available between April 20 – May 29, 7-days a week
- If you already returned your keys, but still need to retrieve items, please email reslife@gustavus.edu to coordinate your move-out.
You will not be considered checked out until you have returned your key AND completed one of the two steps above.
As you make your plans, please note the following:

- Sign-ups must be at least 72 hours in advance.
- You may return with a maximum of 2 friends/family members with you, who are not currently showing any symptoms of illness.
- While we are limiting the number of time slots per building/per day to avoid large groups, we encourage you to follow CDC Guidelines regarding distancing and face coverings.
- Coordinate with your roommate(s) so you do NOT choose time slots on the same day.
- Once you sign up, you will receive a confirmation email with instructions about how to return your key and other important information.
- Be sure to note important signage at each building regarding move-out procedures when you come to campus.
- If the individuals who would normally assist you moving are immune compromised, and you do not have others to assist you, please email reslife@gustavus.edu and we will work with you on possible assistance or solutions.
We ask that you please share this information with family and support people who may also want to know more about this process.
FAQ:
What if I have to make multiple trips and need more than one time slot?
- You may sign up for more than one timeslot if necessary – please email reslife@gustavus.edu to confirm both your time slots are required so we do not think it is a double booking.
Can I stay overnight in my room?
- You cannot stay overnight in your room. Choose a check-out time slot that you are able to coordinate around travel plans that do not involve staying on campus.
What do I do with my BedLoft or rented microfridge?
- Look for signs in your building with your designated area to return your loft or rented refrigerator from BedLoft.com.
What do I do if I need to access storage to pick up items while moving out?
- If you have necessary items already in storage, email reslife@gustavus.edu to coordinate accessing storage during your scheduled checkout date. This communication must occur at least 72 hours in advance of your checkout.
What do I do with my keys?
- For all those scheduling a check-out, a key envelope will be taped to your door. When you are finished moving out, secure your room. Please bring the key to the Residential Life office and drop it in the secure drop box outside our door (Campus Center 105).
- If you have already moved out of your room but still have your key, mail your key back to:

To ensure your key(s) get to our office, mail them in a padded envelope; we also recommend taping your key(s) to a piece of cardboard or notecard. If your key is not returned, you will be charged a $75 fee for lost/not returned keys.
What do I do with my Textbooks?
- If you want to keep the books you have rented from The Book Mark this term, please see the email sent to you on Thursday, April 9th from The Book Mark. If you have textbook rentals that you no longer need, please deposit them in the “TEXTBOOK RENTAL RETURN” bins in front of the Book Mark. Library books can also be placed in the Book Mark bins.
What if I have items in Lund, Bjorling, or a non-Res Life building?
- If you need access to retrieve items you have in Lund Lockers or Fine Art Storage, please email Campus Safety at safety@gustavus.edu to let them know the date and time you are coming.
What do I need to do about my mail or packages?
- Please remember to stop by the Post Office to pick up all mail (including voter registrations) and packages. Packages and mail that are not picked up will be returned to sender and/or discarded. If packages and mail need to be forwarded or you know you have packages and the window is not open, please send an email including forwarding address and student ID number for shipping charges to Karen Yess (kyess@gustavus.edu).
